Why your customers message instead of ringing
More of your customers would rather send a message than make a call. What that means for how a local business answers, and why every channel needs the same answers.
Ask around and you'll hear it from people of every age: they'd rather send a message than make a phone call. A message fits around the rest of their day. They can send it from the bus, in a meeting, at eleven at night. They don't have to wait on hold, and they have a written record of what they were told.
For a local business, that changes where the front desk is.
The front desk is now in six places
A few years ago the front desk was the phone. Now a customer might reach you by:
- a phone call,
- a text message,
- WhatsApp,
- a direct message on Instagram,
- Facebook Messenger,
- or an email.
Each one is a customer who wants an answer. And each one tends to land somewhere different: the shop phone, the owner's own phone, the Instagram app, an inbox nobody has opened since Tuesday.
The problem isn't volume, it's scatter
Most of these messages are the same few questions: how much is it, when are you open, have you got anything on Saturday, can I move my appointment. None of them is hard to answer. The problem is that they arrive in six different apps, often outside working hours, and the answer depends on information (prices, the calendar) that lives somewhere else again.
So they wait. And a message that waits until tomorrow is, very often, a customer who has already booked somewhere that replied tonight.
One inbox, one set of answers
The answer is to bring every channel into one place and answer them all the same way. That matters for two reasons.
The first is obvious: you see everything together, and nothing waits in an app you forgot to check.
The second is less obvious and more important: the answers have to agree. If the price on Instagram is different from the price on the phone, or WhatsApp says you're open when the website says you're closed, customers stop trusting what they're told. Every channel has to answer from the same information.
How RingPost handles it
RingPost answers calls, texts, WhatsApp, Instagram, Messenger and email in one inbox. The AI answers every channel from the same place: your own services, prices, hours and policies, and your live calendar. A customer who asks on Instagram and a customer who rings get the same answer, and either can book, reschedule or cancel without anyone picking up.
You see every conversation, with the ones that need you gathered in one place. Reply in any thread and the AI steps back in that conversation until you hand it back.
Your customers have already decided how they want to reach you. The job of a front desk is to answer them there. See all the channels, or how the inbox works.
