Terms of Service
Last updated: 30 September 2026
These terms govern your use of RingPost. They're written to be readable rather than impressive. If anything here is unclear, ask us before you agree to it.
1. What RingPost is
RingPost is AI-powered front-desk software for local service businesses. It helps businesses manage customer communications across supported channels, schedule and manage appointments, maintain customer records, coordinate follow-ups, and use AI-assisted business tools including content and review management.
The Service is operated by RINGPOST (SMC-PRIVATE) LIMITED (“RingPost”, “we”, “us”). By signing up for or using the Service you agree to these terms. If you don’t agree, don’t use the Service.
RingPost is a tool that assists your business. You remain responsible for your business’s own decisions, pricing, policies, and for how you choose to use what the Service produces.
2. Eligibility and your account
You must be at least 18 and have authority to bind the business you represent. You agree to give accurate information when registering and to keep your login credentials confidential. You’re responsible for activity that happens under your account.
3. Fees and payment
- RingPost is offered as a monthly plan (Front Desk, Growth or Command Center), with no setup fee, at the prices shown on our pricing page when you sign up. Each plan includes stated monthly allowances; top-up packs are only charged when you choose to buy one.
- Payments are processed securely by our designated payment provider. The applicable payment provider’s checkout terms and privacy notice apply to payment processing.
- Your 7-day free trial starts when you choose a plan and save a card, and nothing is charged during it. Unless you cancel during the trial, your chosen plan is billed automatically at the end of it, in advance, each month until cancelled.
- Keep your payment details current. A failed payment may suspend the Service until it’s resolved.
- Fees are quoted in US Dollars. If the payment provider processes the transaction in another currency, the converted amount is what applies.
4. Cancellation and refunds
Cancellations and refunds are covered by our Refund Policy, which forms part of these terms.
5. Your data
- You own your business’s data: your customer information, conversation history, and anything you provide to us.
- You grant us a limited licence to process and store that data solely to provide the Service to you.
- You’re responsible for having the right to give us any customer data you enter, and for complying with the communications and data protection laws that apply to you, including consent rules for SMS and marketing messages.
Our Privacy Policy explains in full what we collect and how it’s handled.
6. Acceptable use
Your use of the Service is governed by our Acceptable Use Policy, which forms part of these terms. It sets out what may not be created, requested or published through the Service, and what conduct is not permitted. Read it. The content filter in the product enforces it, and a refusal you do not expect will make more sense with it in front of you.
We may suspend or terminate an account that breaches that policy, with notice where the situation reasonably allows it. Where content is unlawful we may be required to report it.
7. Your customers’ data, and your responsibilities for it
The Service handles personal data belonging to your customers: names, phone numbers, email addresses, the content of their messages and calls, and their booking history. You are the controller of that data and we are your processor. The full terms of that relationship, including sub-processors, retention, deletion and breach notification, are in the Data Processing Addendum, which forms part of these terms.
As the business your customers are contacting, you are responsible for:
- having a lawful basis for contacting the people you contact, and for any customer list you bring with you;
- publishing your own privacy notice to your customers, covering the fact that messages and calls to your business may be answered by an AI, recorded and transcribed;
- complying with marketing and telemarketing law where your customers are: consent, opt-out and calling-hours rules are yours to meet, not ours;
- keeping the call-recording announcement enabled unless your own legal advice supports turning it off. See Call Recording and AI Disclosure.
8. Third-party platforms
The Service connects to platforms you already use, including Google Calendar, WhatsApp, Instagram and Facebook, as well as telephony, messaging and publishing providers. When you connect any of those accounts, you authorise RingPost to act on that connected account on your business’s behalf within the permissions and scope you grant.
Those platforms have their own terms, and they enforce them against your account, not ours. A platform may suspend an account, change an API, revoke access, or refuse a post for reasons entirely outside our control. We pass through whatever those platforms allow and no more, and we are not liable for their decisions, outages or policy changes. Where a connection breaks we will tell you in the dashboard so you can reconnect it.
9. AI-generated content and its limits
The Service uses AI to generate replies, content and recommendations. We’ve built real safeguards: prices, hours and availability the AI states are looked up from your own business data at the moment it’s asked, not invented. But AI systems can still get things wrong.
You should review outputs where it reasonably matters, particularly marketing content before it’s published in your name. We aren’t liable for an inaccuracy or omission in AI-generated communications or content, except where it results from our gross negligence or wilful misconduct.
10. Availability
We aim to keep the Service reliable but don’t guarantee uninterrupted access. Maintenance, outages at a third-party provider we depend on (a telephony or email provider, for instance), or events outside our reasonable control may affect availability. We aren’t liable for losses from such interruptions except where the law requires otherwise.
11. Intellectual property
The Service (its software, design and underlying technology) belongs to us or our licensors. These terms give you the right to use the Service as intended, and nothing more.
12. Limitation of liability
To the maximum extent the law allows, we aren’t liable for indirect, incidental, special, consequential or punitive damages, including lost profits or lost business, arising from your use of the Service. Our total liability for any claim is limited to what you paid us in the twelve months before the claim.
13. Termination, and what happens to your data
We may suspend or end your access if you materially breach these terms, don’t pay applicable fees, or act in a way we reasonably believe harms the Service, other users or third parties. You may cancel at any time under the Refund Policy.
When your account ends, your data does not disappear that afternoon. You may export your customer records, conversation history and bookings in a machine-readable format, and we will help you do it. Data is retained for 60 days after termination so you have time to complete that export or change your mind, and is then deleted from live systems, with backups ageing out within a further 30 days. Ask us to delete sooner and we will.
Two things go with it: any phone number we provisioned for you is released unless you arrange to port it out first, and any connected social or calendar account is disconnected. Those accounts remain yours and are unaffected. Full detail is in the Data Processing Addendum.
14. Changes to these terms
We may update these terms. If a change is material we’ll tell you by email before it takes effect. Continuing to use the Service afterwards means you accept the updated terms.
15. Governing law
These terms are governed by the laws of the Islamic Republic of Pakistan, where RINGPOST (SMC-PRIVATE) LIMITED is formed and operates the Service from, without regard to conflict-of-law rules.
